At Job Duck, we are seeking a Legal Documentation Assistant- International Private Law dedicated to precision, compliance, and administrative excellence. This role is central to ensuring the flawless preparation and filing of FAA registration and exemption documents, safeguarding the firm from administrative errors and maintaining strict adherence to regulatory standards. As the Guardian of our systems, you will manage high-volume documentation workflows, enforce zero-defect checkpoints, and serve as the anchor that allows leadership to focus on growth and strategy. Salary Range: 1150 USD to 1220 USD

Responsibilities include, but are not limited to:

  • Draft and file FAA registration paperwork and related legal affidavits
  • Draft and file specialized exemption paperwork with strict adherence to templates
  • Manage high-volume legal documentation processes with administrative rigor
  • Ensure integrity of all data related to client documentation workflows
  • Maintain and update the firm's Master Tracker (Streak) with accurate client status and filing dates
  • Enforce zero-defect checkpoints, including verification of notary and drone weight rules
  • Execute daily intake triage by reviewing Gavel submissions
  • Support leadership by ensuring scalable, repeatable delivery of services
  • Request necessary information, provide status updates, and obtain missing documentation
  • Serve as primary point of contact with clients and the FAA via email only

Requirements:

Office Hours: Monday- Friday 8:30 AM - 5:30 PM EST

Non-US trained legal professional (Attorney or Senior Paralegal) with a background in Administrative or International Private Law

Experience with Gavel and/or Lawmatics is preferred

Language: C1 English proficiency required

Documented history of working within strict compliance frameworks

Software: Gavel, Streak (Master Tracker), Lawmatics, Convertkit, Docusign

Work Shift: 8:30 AM - 5:30 PM [EST][EDT] (United States of America)
