EHR Assistant Director Of Medical Records

The EHR Assistant Director Of Medical Records oversees the management, implementation, and optimization of the Electronic Health Record (EHR) system across healthcare facilities. This role ensures compliance with federal and state regulations, manages medical records processes, and enhances the efficiency of record-keeping practices. The director is responsible for maintaining the accuracy, security, and accessibility of all patient health information through the EHR system.

Administrative Functions

  • Collaborate with EHR directors (Implementation, Systems, and Support)
  • Collaborates with the Clinical Operations team's medical records support/specialists

Personnel Functions

  • Train medical records staff on EHR systems and procedures.
  • Coordinate with clinical teams to ensure proper usage of the EHR system.

Audit and Compliance

  • Conduct regular audits to ensure the accuracy and security of the EHR system and compliance with all applicable regulations.
  • Report audit findings to upper management and recommend improvements.
  • Ensure timely and efficient response to subpoenas and legal requests for medical records.
  • Monitor and address any discrepancies or issues related to the release of information.

Training and Development

  • Create and lead training programs for staff on EHR updates, new features, and system optimization.
  • Provide ongoing support for users to ensure the system is being utilized to its full potential.
  • Stay updated on best practices, new regulations, and technologies related to electronic health records.

Strategic Planning

  • Lead strategic initiatives related to the enhancement and future development of the EHR system.
  • Collaborate with senior leadership in making system-wide decisions on EHR policies and procedures.
  • Plan and execute EHR system upgrades or changes to align with new healthcare standards.

Safety and Sanitation

  • Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately.

Equipment and Supply Functions

  • Report equipment malfunctions or breakdowns to your supervisor as soon as possible.
  • Ensure supplies have been replenished in work areas as necessary.
  • Assure that work/assignment areas are clean and records, files, etc., are properly stored before leaving such areas on breaks, end of workday, etc.

Supervisory Requirements

This position has no supervisor responsibilities.

Qualification

Education and/or Experience

Bachelor's degree in Health Information Management, Healthcare Administration, or a related field.

At least 5 years of experience in health information management, with a focus on EHR systems.

RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician) certification preferred.

Strong understanding of healthcare regulations including HIPAA and Joint Commission standards.

Demonstrated leadership and management experience.

Language Skills

Must be able to read, write, speak, and understand the English language. Ability to read technical procedures.

Mathematical Skills

Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

Reasoning Ability

Must possess the ability to make independent decisions when circumstances warrant such action.

Must possess the ability to deal tactfully with personnel, residents, visitors and the general public.

Must possess the ability to work harmoniously with other personnel. Must possess the ability to minimize waste of supplies, misuse of equipment, etc. Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.

Be able to follow written and oral instructions. Must not pose a direct threat to the health or safety of other individuals in the workplace.

Technical Skills

Proficient in EHR software systems (e.g., Epic, Cerner, PointClickCare).

Advanced computer literacy with knowledge of healthcare IT.

Experience with data analysis and audit tools.

Communication and Leadership Skills

Strong written and verbal communication skills.

Ability to collaborate with multidisciplinary teams.

Ability to handle sensitive situations and confidential information.

Physical Demands

  • Must be able to move intermittently throughout the workday.
  • Must be able to speak and write the English language in an understandable manner.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
  • Must function independently, have personal integrity, have flexibility, and the ability to work effectively with other personnel.
  • Must meet the general health requirements set forth by the policies of the facility, which include a medical and physical examination.
  • Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.
  • May be necessary to assist in the evacuation of residents during emergency situations.

  • Is involved with residents, family members, personnel, visitors, government agencies and personnel, etc., under all conditions and circumstances.
  • May be subject to the handling of and exposure to hazardous chemicals.
